This Privacy Notice explains how Vazmo Smart Fix, operated by Nero Panda LTD, processes personal information when users create accounts, upload documents, create Smart Fix cases, use reminders, contact support, make payments or use free tools.

1. Information we process

We may process account details, name, email, phone number, saved default details, address, company information, vehicle registration, uploaded documents, images, file names, case descriptions, AI outputs, reminders, support tickets, billing records, referral data, IP address, device data, security logs and usage activity.

2. Uploaded documents

Uploaded documents may contain personal data, financial data, legal correspondence, vehicle details, tax references, tenancy information, health administration information or other sensitive content. Users should upload only documents they are authorised to process and should redact unnecessary information where possible.

3. AI processing

When a Smart Fix case is created, the uploaded content and user notes may be sent to the configured OpenAI API or other enabled AI provider to produce summaries, risk labels, deadlines, checklists and draft templates. Users should not upload information they do not want processed by the configured AI provider.

4. Saved details

Users may save default information such as name, address, phone, company details and vehicle registration so that templates are more complete. These details can be changed in the customer portal and may be used in future Smart Fix prompts and templates.

5. Payments

Payments may be processed through NeroPay, Stripe or another enabled provider. The application stores transaction references, amounts, plan status and account balance records. Full card details should be handled by the payment provider and not stored directly by Vazmo.

6. Security checks

Vazmo may use Cloudflare Turnstile or similar anti-abuse tools on login, registration and case creation pages. These tools help distinguish legitimate users from automated abuse and may process technical browser and network information.

7. Reminders and messages

Email reminders are used to send requested follow-ups. SMS reminders may be charged and may require a third-party SMS provider. Reminder contact details are used for the requested reminder and related service messages.

8. Support and admin access

Support tickets and case records may be reviewed by authorised administrators to provide help, investigate errors, process billing requests, prevent abuse and improve the service. Admin access should be limited to trained authorised personnel.

9. Retention

Documents, case outputs, billing logs and support tickets may be retained so users can access their history and so Vazmo can operate, audit and secure the service. Some records may be retained for accounting, fraud prevention, security or legal reasons even after account closure.

10. User rights

Users may request access, correction, deletion or restriction of their personal data by contacting support. Some requests may be limited where retention is required for legal, accounting, fraud prevention or security purposes.
